Sales & Administration Coordinator

The Role

This is a pivotal role for someone who thrives in a fast-paced environment and genuinely enjoys being the connective tissue of a busy, growing business. GreenSideUp Landscapes is seeking a confident, organised and commercially minded Sales & Administration Coordinator to work closely with the leadership team - managing the day-to-day administrative, sales support and executive assistance functions that keep GreenSideUp operating at its best.

Key Responsibilities

  • Handle inbound sales enquiries with confidence, warmth and professionalism - supporting the client pipeline and following up leads
  • Prepare professional business documents including proposals, contracts, correspondence and project documentation
  • Assist in the preparation of presentation and capability materials
  • Maintain accurate data entry and records across job management and CRM systems
  • Produce clear and accurate reports on business performance, job tracking and pipeline activity
  • Manage scheduling and calendar coordination for the Business Management and leadership team - consultations, site visits, meetings and project milestones
  • Provide executive and personal assistant support to the Business Management, including travel and accommodation arrangements, personal task management and ad hoc requests
  • Manage and triage incoming communications - phone, email and enquiries - on behalf of the team
  • Organise team events, meetings, catering and company functions
  • Coordinate supplier relationships, orders and general office management
  • Assist with business systems, process documentation and general operational improvements

Essential Requirements

  • Confident and personable in sales conversations - comfortable following up and nurturing leads
  • Highly organised with exceptional attention to detail
  • Strong written and verbal communication skills
  • Demonstrated experience in an administration, sales support or EA/PA capacity
  • Proficient in Microsoft Office Suite
  • A self-starter who takes ownership and gets things done without being micromanaged

Highly Regarded

  • Experience with job management software such as ServiceM8, Buildertrend or similar
  • Prior experience as an Executive Assistant or Personal Assistant
  • Background in construction, landscaping, trades or a similar project-based industry
